Job Responsibilities:

Your responsibilities will be as follows -

Expectations:

Emarkplace & Aravo understanding the process and back-end of the system.  Including reading materials, links and access to network/systems. 

1. To be proactive, using discretion and taking initiatives.  Be attentive to details and follow through on emails.   Turnaround time to email response should be within the same day even if task is not possible for completion on the same day.  Show actions taken.

Response to emails/assigned tasks from stakeholders. 

2. Primary responsibilities would be to provide support to Finance & Market Access.  Administrative tasks such as calendar management (2 stakeholders), Concur expenses (Arnab & 1 more stakeholder), scheduling of meetings such as 1:1, Biz Reviews and other team meetings, payment request and raising of purchase orders including request for payment (for SEA) and assist on quarterly closure and tracking of POs.

Administrative matters:

3. Provide support to SEA Admin.  Maintenance of neighbourhood, booking of meeting rooms for SEA Admin, Finance.  Providing logistics support for internal meetings and coordination with vendors etc.

Onboarding of employee(s) / General Administrative tasks

4.  Support onboarding of employees with guidance from SEA Admin. Utilise the right forms and accuracy in completion of data.

Calendar management/Travel/Visa applications

5. Understand the organisation of SEA.  To have a clear understanding on the direct reports of SEA LT.  Organisation charts will be provided.   

For at least 2 stakeholders and ad-hoc requests.  This is includes to cover in absence of any other SEA Admin.

6. General administrative requests from stakeholders on ad-hoc basis or as and when required.  With the WFH currently in place she must be flexible to adjust to the new-norm and RTW as required. 

Hands-on training will be provided.  Tools and resources and links will be provided including information on where, how to obtain information.  Candidate to read up materials to have better understanding of the flow and processes. 

 

 

Qualifications, Experience and Competencies:

  • Degree or Diploma holder with 2+ years of experience as Admin Assistant.
  • Proficient in office administration and MS Application, e.g. Excel, PowerPoint, Words, MS Team
  • Demonstrate strong execution, organizational and admin support skills.
  • Positive team‐player with strong interdependent collaboration partnership with multiple stakeholders
  • Results oriented with high sense of urgency
